SPL Innovation Limited ("SPL Innovation", "we", "us", "our") is an R&D tax credits consultancy based in Liverpool, working with businesses across the UK. This policy explains how we collect, use, store and protect personal data when you visit our website, use our R&D tax credit calculator, or contact us.

2. The data we collect
We collect personal data in the following ways:
Contact form submissions — name, email address, phone number, company name, and any details you choose to share about your R&D activity.
Calculator use — figures you enter into the R&D tax credit calculator (e.g. spend estimates), which are used to generate an indicative result and are not saved against your identity unless you submit them via the contact form.
Accountant referrals — where a referring accountant shares your contact details with us, or you're introduced to us via the referral page.
Website analytics — anonymised or pseudonymised usage data collected via Google Analytics 4 (pages visited, time on site, general location, device type), used to understand how the site is used.
Correspondence — any information you provide by email or phone once we're in contact.
We do not knowingly collect any special category data (such as health or financial account details) through the website. If you share sensitive information with us directly, we'll only use it for the purpose you provided it.
3. How we use your data and our lawful basis
We process personal data under the following lawful bases set out in UK GDPR Article 6:
Legitimate interests — to respond to enquiries, follow up on contact form submissions, and improve our website and services.
Contract — where we're taking steps to enter into, or performing, a contract with you (e.g. preparing an R&D tax credit claim).
Consent — for non-essential cookies and, where applicable, marketing communications you've opted into.
Legal obligation — where we're required to process or retain data to comply with UK tax, accounting or anti-money-laundering legislation.
4. Sharing your data
We do not sell your personal data. We may share it with:
HMRC, where necessary to progress an R&D tax credit claim on your behalf.
Trusted service providers who support our operations (e.g. website hosting, email, CRM, analytics), each bound by data processing agreements.
Referring accountants, where you've been introduced to us through an accountancy partner and it's necessary to progress your enquiry.
Professional advisers or regulators, where required by law.
Beyond this, we don't share your data with any other third-party tools or platforms.
5. International transfers
Our website and the tools we use to run it are, wherever possible, hosted and processed within the UK or European Economic Area. Where a supplier transfers data outside the UK, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Agreement or adequacy regulations.
6. How long we keep your data
We retain personal data only for as long as necessary for the purpose it was collected:
Contact form and calculator enquiries that don't proceed to a client relationship: up to 12 months, then deleted or anonymised.
Client records, once a formal engagement begins: retained in line with HMRC and accounting record-keeping requirements (currently up to 6 years after the end of the relevant tax period).
Analytics data: retained in line with Google Analytics 4's default retention settings, currently 14 months.
7. Your rights
Under UK GDPR, you have the right to:
Access the personal data we hold about you
Request correction of inaccurate data
Request erasure of your data, where applicable
Restrict or object to certain processing
Request a copy of your data in a portable format
Withdraw consent at any time, where processing is based on consent

8. Cookies
Our website uses cookies to run essential functions and, with your consent, to understand how visitors use the site. On your first visit, you'll be asked to accept or manage cookie preferences via a cookie banner.
Essential cookies — required for the website and contact form to function; these cannot be switched off.
Analytics cookies — Google Analytics 4, used to understand site traffic and improve the website. Only set with your consent.

We use appropriate technical and organisational measures to protect personal data, including secure hosting, restricted access to client records, and secure transmission of data submitted through our contact form.
